Position Summary

Reporting directly to the Dean and Associate Dean, the Assistant Dean serves as an ex-officio member of the GSE School Council and serves as aGSE re presentative on University committees (e.g., Academic Records, Calendar, the Graduate Council, etc.)

 

The Assistant Dean is the principal aide to the Dean of the Graduate School of Education, coordinating the Dean’s office operations and advancing strategic initiatives in support of institutional priorities. The Assistant Dean is also responsible for providing administrative support to the Associate Dean of the Graduate School of Education (GSE).

 

The Assistant Dean must be able to act independently, effectively, and diplomatically in an academic environment, and be committed to furthering the goals of Jesuit education by building trusting relationships with a broad range of individuals within the School, across the University, and beyond.

 

Essential Functions        

  • Maintains confidentiality on all dean’s office internal communications, sensitive matters, and issues and documents regarding personnel.
  • Collaborates with Dean and Associate Dean to prepare community-wide emails, coordinates annual and interim reports, and creates a range of internal and external communications on behalf of the Dean.
  • Coordinates the development of the dean’s schedule, and GSE Academic Calendar.
  • Facilitates meetings with Dean’s Office staff; preparing agendas, scheduling guests, circulating pertinent information, and following up on necessary matters to support completion.
  • Provides leadership and supervision for clerical staff throughout the School.
  • Maintains the integrity of academic records by understanding the information contained in various databases, changing, correcting, or modifying that information accurately and in compliance with academic regulations, correctly interpreting that information and explaining it to students, staff, and faculty, as needed, and reviewing reports to identify errors.
  • Manages master schedule for all academic programs
  • Assists the Dean and Associate Dean in hiring adjunct faculty
  • Facilitates the enrollment process by providing information about changes of schedules, withdrawals, refunds, grading policies and procedures, deadlines, cancellation and rebuilding of schedules, grade appeals, transfer evaluations, encumbrances, academic advisement, prerequisites, drops, deleted sections, permissions, overloads, special courses, etc.
  • Develops strong relationships with key stakeholders across the University to promote the effective attainment of University goals
  • Develops, oversees, and helps troubleshoot administrative systems.
  • Serves as Dean’s Office point person for matters related to space, facilities, equipment, and software platforms.
  • Facilitates information flow throughout the School and with offices throughout the university.

Management Responsibilities  

Guides work of other employees who perform essentially the same work and/or student workers. Organizes, sets priorities, schedules and reviews work, but is generally not responsible for final decisions in hiring, performance management or compensation.

 

Additional Functions      

  • Serves as liaison to the university office of the registrar
  • Disseminates course schedules to all GSE constituents
  • Contributes to the overall success of the Records and Registration by performing all other duties as required.
  • Supports registrar functions by assisting with processes related to commencement, proofreading various schedules, catalogs, and publications, maintaining electronic files, filing and purging of records.
  • Coordinates graduation and process documentation

 

Required Qualifications: Education and Experience        

  • Master’s degree in Education or related field
  • Minimum 3 years of experience in years of work experience in Higher Education with increasing responsibility
  • Minimum 3 years of administrative experience, including personnel management

 

Required Qualifications: Knowledge and Skills     

  • Excellent communication skills
  • Familiarity with New York State Education Department (NYSED), Middle States Commission on Higher Education (MSCHE), and US Department of Education (DOE) guidelines
  • Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.

 

Preferred Qualifications 

  • Doctoral Degree
  • Experience with software including Tableau, Banner, Concur, and other common office and higher education applications

 

Minimum Starting Salary: $90,000

 

Maximum Starting Salary: $115,000

 

Note: Salary is commensurate with qualifications, experience, and skills.
